5 Helpful Responses to COVID-19 (Coronavirus) For Your Church

In the last 48 hours, the feelings of many Americans about COVID-19 and the impact that it has on their personal lives has shifted dramatically.  

 Across the country, events and gathering spaces are closing in an unprecedented way. Schools are shutting their doors, churches are cancelling services and many Americans are being asked not to come in to work or to try to accomplish all their tasks from home (while simultaneously teaching and caring for their children).  

This can cause a lot of fear, anxiety and stress for many people, both inside and outside of the Church. Here are five actions your church can take to respond to this crisis in a healthy way.

1. Start With Prayer

Enough said.

2. Plan, Not Panic

We should absolutely take COVID-19 seriously. It does not do our churches any good to pretend that this virus will not impact all of our members in some way. A feeling of panic comes naturally to people. What is needed is not panic or a reactionary stance, but rather to prayerfully and thoughtfully make a plan for the ways it will impact our congregations. 

  • Is there a better way to encourage greeting one another that limits physical contact? 
  • What if your Sunday service does not meet?  
  • Should you gather in smaller groups? 
  • Do you have a way to digitally stream your Sunday service? 
  • Should your small groups still meet?  
  • Should your youth or children’s programming be altered in some way?  

What is right for one church, may not be right for another. This is why approaching all of these questions with an attitude of prayer and seeking the Lord’s guidance is so important. People want to know that those in leadership are trustworthy and are making wise decisions. By being proactive and communicating your plans and actions, you continue to build that relationship of trust and help prevent people from moving to a sense of panic.  

3. Encourage Generosity

Our response should not be to hoard resources, but to consider those around us. Encourage those in your congregation to continue to give and live generous lives. Encourage people to continue to give to your church as well. 

As a church leader you may be concerned about the financial impact to your church. 

If you need to forgo meeting together on a Sunday morning, do you have a way that people can still fund the mission of your church? Make sure that you have digital giving options for your members AND make sure they know how to do it. If someone regularly gives on Sunday morning, they may need a simple tutorial of how to set up online giving. 

This is also an opportunity to encourage your regular givers to set up recurring giving if they aren’t already doing so.   

4. Promote Being a Good Neighbor

In this season, there are many people that are feeling even more fearful, stressed, isolated and confused. Many will face significant financial stress and it seems all of us will face a shortage of toilet paper.🤷‍♂️

Encourage those in your congregation to be a light and a good neighbor to those around them. It is about being intentional with our words and actions. Have groceries delivered to a friend in need. Call/text friends and family to check in on them. Be intentional about meeting needs and looking for opportunities to share the hope we have in Jesus Christ.  

5. Spread Faith, Not Fear

God has not given us a spirit of fear (2 Timothy 1:7).  

During trying times and events that affect our nation as a whole, people tend to lean into anything that can give them a sense of peace and security. It is our responsibility and opportunity as Christians to be open and available. We can show how our faith prepares us to handle uncertainty, knowing that God is in control and has a plan for us even when we don’t see it. 

Be confident, be strong and courageous and be available to minister through this time. This is a huge opportunity to offer hope and to “care for the least of these.” 

Every church will have to take measures to deal with this unprecedented time according to their own best judgment and the advice of the local authorities.  The church can be a beacon of hope during this time so keep your eyes open to opportunities that may exist to be the hands and feet of Jesus.  

2019 W-2’s Are Ready!

For Employees:

After logging in, in the left hand menu, click on Payroll -> Payroll Info -> W-2 /1095

This screenshot is from a test system, so no W2 has loaded, but your employees will see a line item listed for 2019 with an Adobe PDF icon that they can click on to view, download or print their own W2.

For Administrators:

Administrative users can access each employee’s W2 by browsing to Employees -> List. Then, choose an employee, and click on Summary ->W2/1095-C

Again, this is test data, but when you click on W2/105-C it will open the same screen that the employee sees above, where you can click on the Adobe PDF icon to view, download or print the W2.

You will need to print and distribute the W2s for any inactive employee or employees who do not have access to the DNet employee portal by January 31.

2019 Year End Information

As we work to complete 2019 for your church there are a few items that you’ll need to consider. Your Account Manager will be in touch with you as well to help finalize items.

Contributions

Shuree, our contributions manager has sent out a few emails detailing the process of what we can provide to you as far as sending out your contribution statements that are managed through the portal.

We provide three simple options to deliver your statments.
Email: The portal can send the statements as an email attachment to your donors.
In-House Printed Delivery: You can print and distribute those statements from the portal in-house.
Done For Your Mailing: We can send the statements on your behalf to the donors. We’ll print the statement, a basic color pastor’s letter (No photos), and stuff, stamp and send to your donor. We charge $1.00/statement for this service.

Just let Shuree: shuree@simplifychurch.com know if you’d like us to handle that process for you.

1099-Misc for Independent Contractors

Your account manager can provide you a list of payees who have received over $600 in non-reimbursement payments for the year so you can verify if any need a 1099. If they’ve already been identified through the portal then your Account Manager is aware, however, we’ll need an updated W-9 from each person with their information. You may download the IRS W-9 form here and please forward to your Account Manager.

Please notify us if you want us to process 1099-MISC forms on your behalf to those individuals. We charge $25/person for this service.

You can let your Account Manager know that you’d like us to process those for you.

Year End Reports

Let your Account Manager know if any year end reports that you’d like to have. We’ll be processing and delivering an Income and Expense Report, Balance Sheet and Budget Report in most cases but please let us know of anything additionally that you’d like to have.

Budgets?

If you’ve not already done so, please send your 2020 budget to your Account Manager. We’ll use that to update in Quickbooks and the Portal for you. If you have removed or added new line items, do us a favor and highlight those for your Account Manager.

2019 Christmas Schedule

Merry Christmas from SimplifyChurch.

Our offices will be officially closed Wednesday, December 25, 2019. Our staff will be on limited availability for Thursday and Friday (Dec. 26 & 27), but will be available via email during those days.

Check requests received after 10:00 am CST on Tuesday December 24 will be processed as volume dictates. Should you have a check request that needs to be sent out for sure on the 26 or 27th, please make note in the memo field of the Portal Request so your Account Manager can process accordingly.

We’re so thankful for the partnership in ministry. Take some time this Christmas season to relax and remember that Jesus is the reason we work so hard to reach our communities.

2019 Thanksgiving Holiday Schedule

The SimplifyChurch offices will be closed Thursday, November 28 and Friday, November 29, 2019 for our team to spend time with their families.

All check requests need to be received by 12:00 pm CST Wednesday November 27, 2019 to go our prior to the holiday.

December 1 Recurring payments will processed as normal and mailed over the weekend.

5 Keys To Encourage Generosity In Your Church

Let’s face it, income for a church can be tough.  If you’re like most pastors, there’s often a shortage of money at the end of the month. 

We can also agree that income for your church is one of those things you have very little control over. Your church is completely dependent on the generosity of the donors and people that call your church home. 

So, are we supposed to just throw up our hands in despair? 
 
Absolutely not. Here are five ways to encourage generosity in your church: 

1. Make giving and generosity part of your DNA  

Churches have a bad rep when it comes to giving.  Unfortunately, too many pastors have taken advantage of people and preyed upon the donations of their congregations. We still have churches that preach a false narrative of the prosperity gospel, health and wealth, or “name it and claim it” (none of which can be backed by scripture). 

As a pastor, in some cases, you have to overcome past experiences, perceptions or generalizations; but you also need to share that generosity is part of spiritual development. 

To encourage generosity in your ministry, you need to make giving part of your DNA. Preach about it regularly, talk about it openly and candidly, let people know that to be part of the church is to be part of a movement of generosity. 

When people see that the church is genuine, that it is a good steward, and that things are happening as a result of people being generous with their giving, a snowball effect will occur, and people will be more likely to get onboard. 

2. Share stories about what can be done when the church is funded to do ministry  

One way to get that snowball moving is to tell stories about what the church has been able to do because people were generous.  Use real stories, from real people.

Now, you don’t have to share specific numbers or tell people how much people were giving, but explain how ministry was able to get done because of the generosity of others. 

Share stories about tangible life change that occurred that was only possible because the church had the resources available. Share about how many salvations, baptisms, marriages saved, etc. that were possible from your church. People need to equate that My Giving = Ministry Happening!  

This may also include sharing a story of how someone’s finances were impacted when they started to give.  Now, you must be careful here because you don’t want to give the impression to someone that their results will be the same just because of giving, but God has made it clear that he will bless faithfulness. 

3. Make the giving process simple and easy 

This step is more practical. If you’re not accepting electronic giving, you need to get that set up today.   

Many studies show that giving increases when online giving options are available and, let’s face it, most people don’t carry cash or their check book regularly. 

Did you know that we have a church online giving system called SimplifyGive?  The name explains it all – a simple way to give to your church. We support online giving via Debit, Credit and ACH, along with giving through web forms and text messages. 

Studies show that giving in churches that have online options increases by more than 30%. 

If you’re reaching a younger demographic (40 and under), you need to have electronic options available for people to be generous. 

Bonus Tip: when you have your offering time in your service, make sure to communicate that you have online giving available, and put the links up on the screen or make them available in the bulletin or worship guide. There will be people that pass the plate without putting anything in and that will be seen by others. If you call it out and say, “You’ll see some people not putting anything in the plate. That’s because they probably gave online, and we welcome you to do the same” 

That simple, non-invasive statement will go a long way to encourage giving. 

4. Show your gratefulness for the generosity of you donors  

It’s one thing to be thankful, and another to demonstrate it.  Of course you can say you’re thankful. But until you actually show someone your thankful for their generosity, it doesn’t matter. 

When was the last time you sent a thank you letter to a first-time donor? 

A simple letter or even email of gratitude to a first-time donor will go a long way.   

When you send out your donor statements, include a pastor’s letter with it to share your thankfulness, and also use that as an opportunity to share what was able to be done in that time period, because of generosity. 

Bonus Tip: Consider sending out semi-annual donor statements or even quarterly statements with a pastor’s letter.  With the SimplifyChurch Bookkeeping Portal, this process is simple and only takes a few minutes. 

When it comes to generosity, you can’t talk enough or make people aware enough about how thankful you are AND what their generosity does for the ministry. 

5. Cast a big vision and show your confidence in how you’ll get there 

Until you share the vision, people won’t know where you’re going. 

People will follow confident leadership and will “buy in” to a vision they can believe in. Everyone wants to be part of something bigger than themselves, and you can use that opportunity to bring people along. 

Sometimes that vision will seem out of reach.  And to be honest it should be. 

 Your job as pastor and leader is to cast a big vision, but then through leadership and direction, show people how that vision can be accomplished, and what part each person needs to play.   
 
What does this mean, practically? Let’s say you have a church that averages 100 people in attendance and a budget of $200,000 per year. Going into the next year, you know God is going to do some big things, and you want to project a budget of $230,000 for the next year.  That’s a 15% increase, which in church world is a pretty big jump. 

When you share the vision for the upcoming budget year, share the number. Acknowledge that it’s a bold step of faith and will take God’s provision to accomplish. Then break it down to show what that number means for each person in the church. 

A $30,000 increase in budget, is about $2,500/month. You may then mention that average churches only have about 20% of their active attendees as givers, which equates to an increase of $125/month for each giving unit. $2,500/(100 * 20%) 

From there, use this as an opportunity to share how each person can get involved. Maybe project out and encourage people that aren’t current givers to consider giving $125/month.   

Show them what this would like like if the number of givers increased by 10%.  Let’s say instead of 20 people, there were now 30 people giving, and all of them committed to start at or increase to $125. Do you realize that would mean your annual budget would actually increase to be closer to $250,000!  That’s even more than you projected, and it really wasn’t that difficult. $125 * 30 ppl = $3,750/month! That’s $15,000 more per year than you set as your dream goal. 

These five keys will greatly increase generosity in your church. While it may sound simple, these five keys are just the start. Encouraging generosity isn’t something you complete overnight, especially if the first key of making generosity part of your DNA isn’t happening. That shift needs to start and happen over a consistent time period. Once people see you’re committed to making it happen, they’ll jump onboard as well.

10:23 – Low – We’re aware of an issue where dates are not being verified when transactions are submitted. It’s either not saving the date, or not verifying that a date was entered before submitting.

For the time being, can you add your date in the Memo field so your Account Manager can verify?

Attach Receipts & Images – Church Bookkeeping Portal Update

Attach Receipts or Images to Bookkeeping Portal Transactions

Update, images can now be attached to a transaction in the portal. When you enter an expense, check request, check record or deposit you may now also choose in image to be attached with that transaction. The image is saved digitally with the transaction so that there is no need to keep a paper copy of that receipt.
